When Forms Admin is enabled for a user's role, they gain visibility of ALL forms, rather than inheriting access based on their security group/workflows.
Since 2630 went live in October, we have implemented four distinct access level groups, each with 1-5 users. Due to these varying levels, I can only enable Forms Admin for Group 1 that is authorised to action forms for all employees.
This creates a limitation for Group 2, 3 & 4, which each of these groups are authorised to manage forms only for their specific group of employees.
Enabling Forms Admin for these groups would risk a security breach, yet without it, the users in each group lack visibility into the forms already processed by the other users within their group, potentially leading to duplicate form submissions.
Here is an example of what we a looking to achieve. If Forms Admin were enabled for the security group “CF - SK Recruit” (as shown in the screenshots), we would expect users in that group to view only forms that have been actioned where the form instance’s workflow specifically includes SK Recruit.
