Suggestions

2630 went live in October, and as they have been familiarising themselves with our system, they have suggested some improvements that would enhance their experience. I believe these changes would benefit everyone. Their recommendations are as follows: Team Leave Tab - Add a column displaying the Approver's name, as users currently have to click into each leave application to see this information. Team Leave Tab - Add a filter for the Approver. Team Leave Tab - Add a filter for team selection. This would apply to users that have direct reports based on their position code, as well as additional Admin access setup via Security Groups. For example, this Admin user can currently see all employees due to their Admin access level, but there’s no way for them to isolate only their direct reports without filtering each employee individually. They would like an option to filter by their team on both the Team Leave History and Team Leave Calendar. This is an FMS customer that does not have access to Affinity to run reports on this information.

Client has asked if we can create a full screen version of the team leave calendar. To be considered.

When you open an employee's leave application, the screen is a very long scroll. Can we consider rearranging things and reducing some whitespace? Attached is an example of what a new layout might look like compared to the current layout (but obviously needs some discussion!).

Slater & Gordon suggested that during a manager's leave application a prompt to share/delegate appears to ensure that a manager is allocated for approvals whilst the other manager is away.

I’ve had a conversation about this matter with Affinity staff on 8 December 2022, but also wanted to put it in writing. I’ve got feedback to provide regarding the My Leave widget in Dashboard ESS as we’ve had multiple questions from employees who are confused by what it shows them. During the conversation it was confirmed that the totals displayed for leave balances in this widget reflect the estimated available leave for an employee effective the date of the last day of leave that has been booked and approved, eg. if an employee has booked a day of Annual Leave on 5 June 2023, then the number of Annual Leave hours displayed in the widget will be a projection of what will be available on 5 June 2023. Its becoming clear that our employees do not find this intuitive, and I personally agree with them. We’ve had multiple enquiries from staff who are confused and assume that there is a problem with their leave accruals based on what this widget displays to them. What people expect to see here is a measure of the number of leave hours they have available effective today – ie their current leave balance on the day they view the widget, minus the value of any future leave that has been booked in but has not yet been taken. I’d like to suggest that this change is made in the Dashboard config, as the totals displayed would be useful to employees. As it stands I also thought there was a problem with the totals displayed here until the calculation was explained to me (see ticket ref 112638), and I do not see how what the widget current calculates is helpful in terms of assisting employees with their leave planning. Let me know if this change is feasible and something that would be considered for development. Jared Chappel

If Affinity could consider future development of some type of way of telling the system that the hours for leave days should be picked up from standard hours not scheduled hours, even if this was only a mgr/admin function, that would be very useful. Being able to tick something and change ALL days on the leave application at once is better than having to change each day individually. (see tk111948)

When employees view their Annual leave balance in Dashboard it shows as a total of entitlement and accrual - when employees terminate they have no idea that they are in negative entitlement resulting in overpayments or termination payments that are different from what they were expecting. Can entitlement and accrual be split out so the employees can see what they are using and understand that they are over their entitlement? I have had 3 queries regarding this today and it is very hard to explain to a non payroll person how it works.

DLA Piper and Affinity would like leave applications to be automatically approved. Optional notification to their manager. Reason: Employees are responsible for managing their time and are trusted to take leave that suits both their needs and the business.
