Customer: MedHealth (DB 2623) Ticket: #137673 Raised by: Shanky Shanker (originally raised informally by Paul Aspden on 18/09/2026) Priority: Medium. The customer has a business need and is waiting on an update. Summary Allow Clever Forms to use the MyTeam Hierarchy Levels setting, so managers can complete forms for their direct and indirect reports, up to the number of levels set in security (2 to 10), in the same way as Staff Search. Current behaviour The Manager security setup lets you select hierarchy levels from 2 to 10. Staff Search respects this setting, so managers can see staff down the reporting line. Clever Forms ignores the setting and only shows a manager’s direct reports. Paul A confirmed this with the Clever Forms team on 11/09/2026. Business need In some MedHealth brands, only State or Area Managers can raise salary review Clever Forms, because of budget restrictions. Some of the employees they manage indirectly are up to 5 levels down the hierarchy. These managers currently can’t select those employees in Clever Forms. Current workaround and why it doesn’t work The only workaround is to set up access manually for each manager using Groups and Managers Manage, based on Position. The customer has said this isn’t workable because of the number of managers and teams, and frequent staff turnover. Testing so far (test DB 6623) With the hierarchy set to level 5, manager 900072 could complete forms for level 4 staff. For manager 811909, forms showed “taking a while to load your data” and no employees could be selected. This may point to a performance issue with larger hierarchies. Requested enhancement Clever Forms should respect the MyTeam Hierarchy Levels setting in Manager security, consistent with Staff Search. Forms should load reliably for managers with large teams across several levels. Expected benefit Managers can complete forms for their whole team without manual security setup. Less admin when managers or positions change. Consistent behaviour between Staff Search and Clever Forms, which the customer currently finds confusing.

Can Online Forms (CF's) limitation be changed to allow use of an already in use SDATES reason? For example - Fixed Term dates, KS Suspension, Parental Leave, Higher Duties, Visa, Secondment, as just some of the recurring SDATES reasons The dates should always be unique unless it is a correction which could be done manually.

It would be very handy if we could write to the EFFECTIVE_CHANGE.REASON_ID field through the cleverforms. Often for pay rate changes the customer wants to record the reason for the change and in order to have this filled in we have to manually edit the Reason ID field after we process the CF. The reasons in this example are held in Dictionaries > Reasons - Change to Position.

MedHealth have requirements where managers need to see further down the hierarchy, up to 5 levels. Currently they are unable to see anyone below direct reports. See TK #137673

We have had feedback from a few customers that when Affinity payroll managers process the Clever Form the customer receives a notification but it does not tell them the employee number etc on that notification. They have suggested that if additional information like the employee number and the form that was processed can be added that would be helpful. A ticket was raised and feedback was that currently the employee number is not an option but to add it here as a product suggestion.

Lock certain sections of a form once they have been completed and moved to the next part of the workflow. For example, "Completing Your On-boarding" Form, once employee has completed their details, I would like to make it so that the Payroll Officer cannot change those details when it is submitted to them (at the moment they can change the details). Details are visible, just not editable.

When a current EMPAD or SDATES record requires updating this has to be actioned manually by Payroll. This is time consuming and carries an element of risk of records being updated incorrectly. Instead, we would like the ability to update current records via Clever Forms.

Enable Save Form button to save Comments (Comments and History) for unprocessed forms. Working Example What: For a termination request form - I want to add a note about the steps taken so far, as the termination request form isn't 'processed' until a later date. Why: I need to make other changes for the main pay run and other tasks in preparation e.g. amend hours to pay, update direct reports, add leaving gift payment, recovery of workride or other balances owing. The final pay will be processed later in the month, closer to their last day.

Some forms can get very long and the ability to have more than one question on a row would improve the reading and flow of the bigger forms. - see zoho ticket 130156

Include in Forms Inbox a flag that displays whether a form has been processed or not.
